Author Guidelines

These guidelines for authors are based on the White Paper of the Council of Scientific Editors on the Compliance of the Principles of Integrity of Publications in Scientific Journals, Updated Version 2012 and the ICMJE Recommendations for the Conduct, Reporting, Editing and Publication of Scholarly Work in Medical Journals, December 2016.

Goals and objectives of the journal «Annaly  khirurgicheskoy gepatologii» = Annals of HPB Surgery».

Focuse and Scope

The most important goals of the journal are generalization of scientific and practical achievements in HPB surgery, the decreasing the research and practical qualification of surgeons. The scientific conception of the edition assumes publication of international guidelines, results of national and international studies. The journal highlights the questions of  ethyology, pathogenesis, diagnostics and new technologies in HPB surgery, including endovascular, endibiliary and ither minimally invasive interventions. The editorial board invite to cooperation HPB surgeons from different countries and also the specialists of adjacent specialties.

The journal accepts for publication original articles, reviews, descriptions of clinical cases, results of experimental studies.  The journal publishes the resolutions of national, regional and world HPB Congresses.

The journal accepts materials from graduate students, internal and external doctoral candidates, specialists and experts in this field.

I. Recommendations for authors prior to submitting an article

The submission of an article to the journal «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  implies that:

- the article has not been previously published in another journal;

- the article is not pending publication in another journal;

- all co-authors agree with the publication of the present version of the article.

Prior to submitting an article for review, please ensure that the file(s) contain(s) all the necessary information in Russian and English, the sources of information placed in the figures and tables are indicated and all citations have been correctly formatted.

The editors of «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  recommend that authors use the following checklists and charts developed by international organisations in the field of health (EQUATOR, Enhancing  the Quality and Transparency of Health Research) when preparing original articles and other materials.

When preparing articles that reflect the results of randomised clinical trials - “CONSORT 2010 checklist of information to include when reporting a randomised trial”.

When preparing articles that reflect the results of non-experimental studies - “Strengthening the Reporting of Observational Studies in Epidemiology (STROBE) Statement: guidelines for reporting observational studies”

When preparing systematic reviews - “PRISMA (Preferred Reporting Items for Systematic Reviews and Meta-Analyses)"

When preparing descriptions of clinical cases -  “CARE Guidelines: Consensus-based Clinical Case Reporting Guideline Development

When preparing articles reflecting the results of qualitative research - “SRQR (Standards for Reporting Qualitative Research)"

When preparing articles reflecting the results of Predictive Research - "STARD 2015: Updated List of Essential Items for Reporting Diagnostic Accuracy Studies"

On the front page of the article should be placed (in Russian and English):

i. Article title

The title of the article in Russian should fully correspond to the content of the article.

The English-language title should be literate from the point of view of the English language at the same time as fully corresponding to the Russian-language title.

ii. Name(s) of author (s)

The authors are those people whom the research group have identified as the main participants in the presented work, and who have agreed to take responsibility for their work. In addition to taking responsibility for their part of the work, authors should indicate how each of the co-authors is responsible for other parts of the work.

The journal «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  accepts the following criteria of authorship:

1. Substantial contribution to the conceptualisation and design of the research, data collection or data analysis and interpretation;

2. Preparation of the article or its critical revision in terms of meaningful intellectual content;

3. Final approval of the version of the article for publication.

People who are not authors of the article should not be included in the list of authors. The names of people who are not authors, but who provided other support, should be indicated in the “Acknowledgments” section.

The surname of  authors of the article should be indicated before the initials of the name. (Ivanov P.S., Petrov S.I., Sidorov I.P.) 

If the author does not have a foreign passport and / or publications, transliteration of the first name and surname should be done according to the BSI standard.

iii. Author affiliation

Affiliation includes the following data: full official name of the organisation, full postal address (including postcode, city and country). Authors should indicate all the workplaces relevant to the study.

If authors from different institutions took part in the preparation of the article, the affiliation of each author to the particular institution should be indicated using superscript.

The official English-language name of the institution should be used for the information block in English.

iv. Information about author(s)

This section lists academic degree, title, position and other honorifics, place of work, ORCHID.

v. For correspondence – sign full surname, name of the author, which will be the correspondence address (with postcode), telephone, E-mail.

vi. Abstract

The recommended volume of the structured annotation is 250-300 words.

 The abstract should contain the following sections: Aim, Methods, Results, Conclusion.

The abstract should not include terms introduced for the first time, abbreviations (except for generally well-known) or references to literature.

vii. Keywords

Keywords should consist of five to seven terms relevant to the topic of the article. It is desirable that the keywords supplement the abstract and title of the article.

viii. Acknowledgments

This section indicates all sources of research funding, as well as acknowledging people who participated in the work on the article, but are not its authors. Participation in the work on the article implies: recommendations for improving the research, providing space for research, departmental control, obtaining financial support, singular analyses, provision of reagents / patients / animals / other materials for research.

ix. Conflict of interest

Conflict of interest is defined as the condition under which people come into internal conflict or when there are competing interests that can influence the adoption of the editorial decision. Conflicts of interest can be potential or conscious, as well as actually existing. Objectivity can be affected by personal, political, financial, scientific or religious factors.

Author are obliged to notify the editor about any real or potential conflict of interest by including information on the conflict of interests in the relevant section of the article.

If there is no conflict of interest, this must also be explicitly stated by the author(s). For example: “The authors declare no conflict of interest.”

Abstract.

Aim: To assess current trends in surgery of benign biliary strictures on the base of analysis of the long-term results of various variants of bile duct interventions performed in a large federal surgical center over a long period of time.

Materials and methods: Over a period of more than 30 years, the experience of surgical treatment of 349 patients with benign stricture of the bile ducts was considered. Open surgery (mostly biliodigestive anastomoses) was performed in 86% (n-301) of patients. Percutaneous transhepatic treatment of biliary strictures (balloon dilatation and long-term drainage) was performed in 14% (n-48) of patients. Long-term outcomes were estimated in 296 (85%) of 349 including 258 patients after open surgery and 38 patients with endobiliary treatment.

Results: Overall, 83% (n-214) of patients had successful results after reconstructive surgery over the period of follow up more than 20 years. The recurrence rate was 17% (n-44). In patients who underwent endobiliary treatment catheters were left in with a median duration of 17 ± 10 (6-28) months. In 25% (n-12) of patients the treatment is completed with no signs of a stricture recurrence (follow up 4-24 months).

Conclusion: To date there are no enough evidence based data to clarify optimal management of benign biliary strictures despite acceptable long-term results of percutaneous balloon dilation and long-term drainage. Further research is required including case-control studies.

x. Article text

The journal adopts the IMRAD format (Introduction, Methods, Results, Discussion, Conclusion).

Original article should contain the following sections: introduction; materials and methods;

results; discussion; conclusion.

The review should contain the analysis of literature with the presentation of modern sources (mainly for the last 5 years).

Case report should be well illustrated (reflect the essence of the problem) and contain a discussion using the literature data.

The full text of the manuscript (original research, lectures, reviews), including tables and references, should not exceed 6000 words. The volume of case reports should be no more than 4000 words; short messages and letters to the editor – within 1500 words.

Articles are accepted in the following format: doc, docx, rtf.

Font - Times New Roman, size 12, inter-line spacing 1.5. All the pages should be numbered.

xi. Tables should be placed in the text of the article, they should have a numbered title and clearly marked columns, convenient and understandable for reading. These tables should correspond to the figures in the text, but should not duplicate the information provided therein. References to tables in the text are obligatory.

Tables provided should be of good quality and at a resolution suitable for printing. It is preferred tables that tables be presented in a form suitable for editing, not scanned or in the form of drawings.

All tables must have appropriate titles.

The title and content of the table must be duplicated in English.

Tables are to be numbered in Arabic numerals according to the order they appear in the text. If only one table appears in the text, then it is not numbered.

References to the tables are made as follows: “Table 3 indicates that ...” or “It is indicated that ... (Table 3)”.

The title of the table includes the sequential number of the table and its title.

A Russian translation of the table title should be placed following the English title.

xii. Figures

Figure captions consist of its name (no more than 15 words) and "legend" (explanations of parts of the figure, symbols, arrows and other details). Legends to photomicrographs should indicate the magnification level.  Figure captions should be placed in a single file with the article after the list of references.

The caption includes the serial number of the figure and its name The caption must be duplicated in English.

Figures provided should be of good quality and at a resolution suitable for printing.

xiii. Screenshots and photographs

Photos, screenshots and similar illustrations should be downloaded separately in a special section of the form for submitting an article in the form of files in *.jpeg, *.bmp, *.gif format (*.doc or *.docx formats should be used if notes are attached to the additional images). The image resolution should be 300 dpi or greater. Image files must be assigned a name corresponding to the number of the figure in the text. In the description of the file, a separate caption should be provided, which should match the name of the photo placed in the text.

xiv. Footnotes

Footnotes are numbered with Arabic numerals, and positioned at the bottom of the page to which they apply. Footnotes can include: links to anonymous sources on the Internet, links to textbooks, tutorials, GOSTs, statistical reports, articles in social and political newspapers and magazines, author’s abstracts, dissertations (if there is no way to quote articles published on the results of a dissertation study) as well as author’s comments.

xv. Bibliography

The journal uses theVancouvercitation format, according to which the source is referred to square brackets; subsequent reference to sources in the bibliography is made in the order in which they were mentioned in the text.

The number of references: in original articles and lectures is allowed up to 30, in reviews – up to 60 sources. It is desirable to cite modern sources published within the last 5-7 years.

The bibliography should only include peer-reviewed sources (i.e. articles from scientific journals and monographs) mentioned in the text of the article. Abstracts of dissertations, dissertations, textbooks, teaching aids, methodological aids, abstracts, collections of scientific papers, GOSTs, information from sites, statistical reports, articles in socio-political newspapers and on websites and blogs should not be included in the bibliography. If it is desired to refer to such information, this should be done via a footnote.

When describing a source, its DOI should be specified if available.

References to articles accepted for publication but not yet published should be marked with the words “in press”; authors must obtain written permission to refer to such documents and confirm that they have been accepted for publication. Information from unpublished sources should be marked with the words “unpublished data / documents”; the authors must also obtain written confirmation for the use of such materials.

When making reference to journal articles, the publication year, volume and issue number as well as relevant page numbers must be indicated.

All authors must be represented in the description of each source.

The links should be verified and the output data checked on the official website of the journals and / or publishers.

It is necessary to translate / transliterate the bibliography into English. Following the description of the Russian-language source at the end of the reference after the English translation, the source language should be indicated: (In Russ.).

When transliterating author names and surnames, as well as journal titles, the BSI standard should be referred to.

The participation of the authors.

It is necessary to specify the share of authors (Contribution) in the writing of the article, in which of the stages of creation of the article each of its authors participated: the concept and design of the study, collection and processing of material, statistical data processing, writing, editing, approval of the final version of the article, responsibility for the integrity of all parts of the article.

II. How to submit an article for consideration

The manuscript of the article must be sent to the editor via online form https://hepato.elpub.ru/jour/index.. The file with the article that is uploaded to the system should be presented in Microsoft Word format (having the extension * .doc, * .docx, * .rtf).

To send a manuscript, you must register on the website and in the profile of your personal account, be sure to tick the "Author" item - this will allow you to use the electronic system for submitting manuscripts. To send a manuscript for consideration, click on the "SEND MANUSCRIPT" banner in the right sidebar.

Sending of the manuscript can be done by any member of the team of authors of the manuscript. Correspondence of the editorial Board with the author's team goes only through the user who sent the manuscript to the editor.

When sending the manuscript to the editor, the user must go through 5 steps and fill in a number of fields. The most detailed filling is necessary not only for the successful consideration of the manuscript by the editorial Board, but also for the qualitative indexing of the published article in the world databases and search engines in the future.

Accompanying forms. When submitting a manuscript to the editorial office of the journal, it is necessary to additionally upload files containing scanned images of completed and certified supporting documents (in the format *.pdf). The accompanying documents include a cover letter from the place of work of the authors with the seal and signature of the head of the organization, as well as signatures of all co-authors (for each specified in the manuscript of the organization must provide a separate cover letter).   In case of studies with animals, it is necessary to download a file with the permission of the Ethical Committee of the organization.

III. Interaction between journal and author

The editorial staff of the journal will correspond with the responsible (corresponding) author; however, if the authors wish, emails can be copied to all authors for whom an e-mail address is indicated.

All articles submitted to the journal «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  are preliminarily checked by the responsible secretary of the journal for their compliance with formal requirements. At this stage, the article can be returned to the author(s) for revision with a request to eliminate errors or add missing data. The article may also at this stage be rejected due to its inconsistency with the purposes of the journal, lack of originality or low scientific value.

Following the preliminary check, the responsible editor submits the article to the reviewers, specifying the timing of the review.

In borderline cases, the editor may involve several more specialists in the review process, as well as the editor-in-chief.

With a positive conclusion of reviewers, the article is transferred to the editor for the preparation for the press.

When making a decision on the completion of an article, the comments and remarks of the reviewer are transmitted to the author. The author is given 1 month  to resolve issues raised in comments. If, during this period, the author has not notified the editorial board about the planned actions, the article will be removed from the publication queue.

Should a decision be taken to refuse publication of an article, the appropriate decision will be sent to the corresponding author.

The final (authoritative) version of the layout is sent to the responsible (corresponding) author of the article accepted for publication, who is obliged to verify it. A response is expected from the authors within a period of two days. Should no response be received from the author, the article is considered to have been approved.

IV. Procedure for reviewing the decisions of the editor / reviewer

If the author does not agree with the opinion of the reviewer and / or individual comments, he or she has the right to challenge the decision. In order to do this, the author must:

- correct the manuscript of the article according to the justified comments of reviewers and editors;

- clearly state his or her position regarding the issue under consideration.

The editors will facilitate the re-submission of manuscripts that could potentially be accepted, but have been rejected due to the need to make significant changes or to collect additional data; the editors are ready to explain in detail what needs to be corrected in the manuscript in order for it to be accepted for publication.

V. Editorial actions in case of detection of plagiarism, fabrication or falsification of data

In case of detection of scientific misconduct, i.e. plagiarism, fabrication or falsification of data on the part of the author, the editors are guided by COPE rules.

By “misconduct” journal «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  refers to any actions taken by individual scientists, including improper handling of objects of study or intentional manipulation of scientific information whereby it ceases to reflect the observed studies, as well as scientific behaviour that does not correspond to accepted ethical and scientific standards.

However, the journal «Annaly  khirurgicheskoy gepatologii=Annals of HPB Surgery»  does not include under the term “misconduct” honest errors or discrepancies that have arisen during the process of carrying out, interpreting or evaluating research methods or results.

VI. Correction of errors and recalling of articles

If errors are found in the text that affect its perception but do not distort the stated results of the study, they can be corrected by replacing the pdf file of the article and pointing out the error in the article file and on the article page on the journal’s website.

If an error is found in the text that distorts the results of the research, or if plagiarism or misconduct is detected on the part of the author(s) that relates to the falsification and / or fabrication of data, the article can be withdrawn. Initiator of article reviews can include editorial staff, authors, organisations or private individuals.

A withdrawn article will be marked with the sign “Article withdrawn” and the article page will include information on the reason for recalling the article. Information about the recall of the articles will be sent to the databases in which the journal is indexed.

 

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor)
  2. Manuscript file format is Microsoft Word (has the extension *.doc, *.docx, *.rtf).
  3. The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in "For Authors" section.
  4. The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end. The manuscript does not exceed 25 000 characters, including spaces.
  5. Number of sources in the bibliography does not exceed 60 (for review) and 20 (for all other articles types). References formatted in compliance with the requirements specified in "References list guidelines".
  6. All the required supporting documents will be submitted together with the manuscript. The list of supporting documentrs include scanned originals of the filled license agreement and cover letter in pdf:
    • A cover letter signed by all authors.

Authors who publish with this journal agree to the following terms:
